| NOTE: Items in the reference collection, designated special collections and most bound and unbound journals are available for use within the library only. |
When necessary, the library may vary loan conditions in order to meet the needs of particular groups of users, and to maximise the availability of resources.
Courtesy notices will be emailed to you 2 days prior to items becoming due.
| Renewals |
 |
Items may be renewed on or before the due date, using one of the following methods:
- Electronically via the University of Newcastle library website at http://library.newcastle.edu.au/screens/pins.html ; or
- In person at the library information desk ; or
- By telephoning the relevant branch library.
A loan item may not be renewed if another library member has reserved it.
| Recalls |
 |
In some circumstances, the library may recall an item that is currently on loan, and for which one renewal may already have been granted. In general, this will only apply in situations where another member of the library has reserved the item, or if the item is required for the reserve collection. Borrowing rights will be withdrawn if you fail to return material
| Reservations |
 |
If an item that you require is already on loan to another member of the library, you may place a reservation on it. When the item is returned, the library will contact you, and ask you to pick up the loan from the information desk in the library. In general, reserved items will be held at the information desk for a maximum period of one week.
To reserve an item in the library, please follow the instructions on Newcat.
Items requested from the Gardiner Library Service must be collected at the main library at John Hunter Hospital, or from the branch libraries at Royal Newcastle Hospital or the Mater Misericordiae Hospital.
| Returning items |
 |
Loan items may be returned via the book chute situated near the entrance to the library, both during library hours, and when the library is closed.
Items on overnight loan from the reserve collection may be returned directly to the library information desk.
| Using other libraries |
 |
The University of Newcastle permits members of the Gardiner Library Service (ie. members with a current membership card) to borrow from the Auchmuty and Huxley Libraries at the Callaghan campus. Please note that the use of other libraries will be governed by that institution's rules and regulations.
| Overdue notices & fines |
 |
The library operates on the basis of fair sharing of materials. When items are not returned to the library by the due date, a fine is imposed at the rate of $2.00 per item for the first day and 50 cents for each subsequent day that the material remains overdue. Borrowing privileges will be suspended when a debt of $15.00 accumulates.
| Replacement fees |
 |
Members of the library may be required to make good the cost of any damage to, or loss of, items on loan to them or being used by them in the Library, or of any damage to other library property. If an item lost was part of a set, the member may be required to pay the cost of a new set if this the only way to replace the lost part. When an item on loan to a member is lost it will be re-ordered and the member will be required to pay the replacement cost of the item, together with handling charges, even if the copy belonging to the library is subsequently found.
